MVP TITANS BOOSTER CLUB

The MVP Titan Booster Club (hereafter known as the Booster Club) is an independent, non-profit and non-affiliated organization that supports athletes and athletic events of the MVP Public School Systems.  The Booster Club has its own governing Board of Directors and does not fall under any official jurisdiction of the school district. The Booster Club exists solely for the purpose of furthering school sanctioned athletic activities.  To this end, the Booster Club has developed the following guidelines and by-laws for the development and governing body of the organization and its membership.

MISSION

The mission of the MVPBC is as follows:

  • Support and encourage student participation in MVP athletic programs

  • Enhance the overall experience for athletes, fans, school and community.

  • Promote and strive for improvements in athletics

  • Assist with financial support the MVP athletic programs

  • Provide and promote activities that connect the schools and the communities.

  • Encourage and recognize high standards of sportsmanship

EXECUTIVE BOARD MEMBERSHIP

Officers:

The officers of the MVPBC organization shall consist of:

  • Co-President (Plankinton)

  • Co-President (Mt. Vernon)

  • MV Activities Director

  • Plankinton Activities Director

  • President Elect (Plankinton)

  • President Elect (Mt. Vernon)

  • Secretary/Treasurer

 

President Elect, Secretary/Treasurer shall be elected by the general membership by ballot. The election will be held at the annual meeting of the MVPBC. The President Elects shall assume the duties of the President at the end of the President’s term. The officers shall constitute the Board of Directors for the purpose of conducting lawful business of the MVPBC.


The presiding officers at one month before Annual General meeting shall recommend one (1) or more candidates for each office and shall report nominations to the general membership at the next meeting, at which time any additional nominations may be presented from the floor by any member in good standing with the membership. Consent of the candidate(s) up for nomination(s) shall be obtained prior to placing his/her name on the ballot.


The election of the Executive board (Committee Chairs) shall be at the Annual General membership meeting.


All exiting Executive Board members shall orient the incoming newly elected board members, to the prospective position(s).


Each officer shall be in good standing with the organization known as MVPBC.


Officers shall assume their official duties at the close of the Annual General meeting.


Each officer upon the expiration of his/her term of office or in the event of resignation, shall without delay turn over to the newly elected officer or President, all books, records, funds or other material pertaining to his/her office and shall submit a written description of the functions he/she performed.

 

DUTIES OF EXECUTIVE BOARD

The duties of the Executive board member offices shall be defined as follows:

 

A. Co-Presidents shall preside at all executive board and general membership meetings, coordinate the work of the executive board members and committee in order that the objectives of the MVPBC organization may be promoted. With the approval of the other board members shall appoint committee chairpersons and duties. The president shall be the liaison with the MVP Administration/Faculty. Each Co-President shall have one vote. The Co-President’s term will be one (1) year.

 

B. Vice-Presidents shall act, as aide to the presidents and in the absence of the presidents, shall perform duties of the president. He/She will also be responsible for the by-law distribution. The vice presidents shall have one vote each. The President Elect’s term will be one (1) year.

 

C. Activities Directors from each school will be part of the voting body and will help coordinate activities in light of their professional positions. 

 

D. Secretary/Treasurer shall maintain accurate permanent records of the proceedings for the General and Executive Board Meetings. Present the minutes for the General and Executive board meetings. Maintain a master list of volunteer appointments and responsibilities. Coordinate all correspondences, which may include newsletters, publicity, web site or upcoming events. Secretary/Treasurer shall maintain accurate financial records for the organization known as MVPBC. Shall make all deposits for the organization known as MVPBC in the bank approved by the Executive Board. Shall make all payments authorized by the Executive board. Present a budget throughout the year. Present a written Statement of Accounts at all meetings. Make a full written report to the Executive board annually at the May General meeting.  The Secretary/Treasurer shall have one vote. The Secretary’s term will be one (1) year.

 

E. Standing and Special Committees - There shall be such Standing Committees created by the executive board as may be required to carry on the work of the organization.They shall include but not limited to spirit wear orders, game night events, team meals for travel, etc.   Committees shall be appointed by the President and approved by the Executive Board. Special committees created and appointed for a specific program will cease to exist upon completion of the assigned work.


 

BYLAWS

 

*General Membership meetings of MVPBC shall be held 3 times per year with specific dates and time to be determined by the MVPBC President.

 

The Executive Board shall have the authority to allocate assets of the organization known as MVPBC in support of its objectives. Should the co-op ever dissolve, the booster club funds will be split 50/50 and given to each school’s athletic program.

 

EXPENDITURES APPROVAL
All expenditures of $250.00 (two-hundred fifty dollars) or greater must be approved by the Executive Board before the purchase of item(s).

 

Any Standing Committee requests for funds require majority vote approval by the Executive Board.


The secretary/treasurer shall have custody of all funds for the organization known as MVPBC.


All requests for Non-Standing Committee funds must be submitted to the Executive Board and /or General Membership meeting. Funding requests for specific sports must first be approved by the Athletic Director. (see 

The Board of Directors maintains a checking account for the payment of bills and debts incurred during the presentation of events and normal business.  This account is currently at F & M Bank in Plankinton. The location of the account is at the discretion of the current Board of Directors and can be changed with the majority vote of the Board Membership.  The signature and controlling the account shall contain the names of the current 7 Board Officers consisting of the following: Co-President (Mt. Vernon), Co-President (Plankinton), Co-Vice President (Mt. Vernon), Co-Vice President (Plankinton), MV Activities Director, Plankinton Activities Director, and Secretary/Treasurer.

 

*Contributions by MVPBC, in the forms of goods, services and/or fiduciary contributions are intended to augment the MVP Athletic Programs. MVPBC does not serve as a substitute for the financial/legal obligations and responsibilities of the State of South Dakota, County’s Davison/Aurora and/or the Mt. Vernon or Plankinton School Districts to provide the basic need of the MVP Athletic Programs.

 

*No monies of MVPBC shall not be portioned to its members, board of directors, officers or officers provided however, members, directors or officers may be reimbursed of actual out of pocket expenditures incurred for or authorized by MVPBC.

TITAN BACKER OF THE YEAR AWARD

 

The Booster Club Board chooses two people (one from each community) to be TITAN BACKERS of the Year.  

Candidates are active and supportive fans from the community preferably, but not limited to, Booster Club members.

Nominations for this award are solicited from the entire membership of the Booster Club.  

Nominations are reviewed by the Board of Directors to determine the finalists for the award.  The winners of the award are determined by a majority vote of the Board of Directors based on the nominations received from the membership.

 

Booster Club Members of the Year:

Are presented at the All Sports Award Night at the end of each school year

Are given a gift on Homecoming Day

Are requested to ride in the Homecoming Parade with the Booster Club Board


 

POSSIBLE BOOSTER CLUB RESPONSIBILITIES (Much of this is copied from other clubs…):

 

SPORTS APPRECIATION BANQUETS

 

SENIOR BANNERS -  The Booster Club organizes and pays all fees relating to printing ONE banner for a school sanctioned sport for each senior. The Senior Committee should have informational forms available for the upcoming seniors to pick up in the office by the second week of April. The forms will include picture dates, committee contact information and also request parent contact information (including phone numbers and email addresses). This parent information will be used to contact the parents for Senior Recognition during the upcoming school year. The committee should ask the High School Secretary to include a message in the school announcements for three weeks prior to the form due date. The form shall be returned to the office by a deadline included on the form. The banners should then be hung in the commons area outside the high school gym prior to the start of the football season.  Parents may purchase additional banners for multi-sport athletes. The Booster Club will provide purchasing information upon request.

 

KICK OFF - The assigned Booster Board members are to contact the coach for appropriate date and number of athletes/coaches for sports drinks and treats at the beginning of the season.

 

SENIOR RECOGNITION – The Athletic Director will schedule a Senior Recognition for each sport. The Athletic Director will have the dates noted before the start of the school year. The Athletic Director may combine some programs together (ie. volleyball, cross country and boys golf were grouped together and were recognized prior to the start of a varsity volleyball game). The designated Booster Club Board members are responsible for contacting all parents for their designated sport. 

The Booster Club President shall verify the timing of the recognition with the Athletic Director approximately three weeks prior and then share with the assigned Booster Club board members for that athletic program. 

The assigned Booster Club Board members shall compile a list of all seniors for their athletic program, including all players, managers, statisticians and cheerleaders. This information can be found on the senior banner forms as well as the high school roster lists shared on www.sdhsaas.com. They will then contact the coach and cheer advisor to share the date and time for the event and also verify the list of seniors.  Please also make sure senior night is listed on the school calendar and lists all sports involved. 

The designated Booster Club board members will contact the parents one week prior to the event. They will remind the parents of the event as well as inquiring on how to recognize the parents (example – The board member can ask parents – “How would you like to be announced? As John and Sue Doe, Mr. and Mrs. John Doe, or etc? Are there any other parents to be included (in the case of separation, etc)?”). The Booster Club board member needs to ensure all parents have been notified.

The Booster Club Board members will make name tags for all parents of senior players, cheerleaders, managers and statisticians. 

The designated Booster Club board members will ask the high school secretary to add Senior Recognition to the daily announcements during the week of the event.

The designated Booster Club Board members will post the event information on the Booster Club Facebook page and website at least 2 days before event.

The designated Booster Club Board members will write up a message for the announcer to say during the event – including names of seniors and their parents. An example can be found on the Booster Club’s Google Docs account. 

PEP RALLY – The Booster Club does not serve cookies and juice after pep rallies.  

SEND OFF – The Booster Club is to provide snacks/gifts for state send offs for coaches, athletes, cheerleaders and bus drivers.

STATE – The Booster Club can provide flags, towels, etc. at state events for team sports. 

WELCOME HOME – At the coach’s discretion, if a team or individual is an award winner at state, the Booster Club will organize a welcome home celebration.  The designated Booster Club Board members shall coordinate the timing of the welcome home with the coach. They should contact the coach immediately when the team finds they will be part of the state tournament and determine how to stay in contact with the coach (or designated point of contact) upon the completion of the tournament. The Booster Club will provide drinks and snacks for the welcome home celebrations as well as promote them on Facebook and the Booster Club website.  If an individual does not want a welcome home, the Booster Club will pay for a meal for the individual with their coach.

BANNER – If a team is an award winner at state, the Booster Club will add the date to the sports banner.  The Booster Club will add the date to the football banner if our team reaches the top 4 in state.    

ADDITIONAL INFORMATION:

CAMP SCHOLARSHIPS –  The Booster Club will pay $50 directly to any MVP athletic camp.  If an athlete is going to a camp outside of MVP, the parents will get reimbursed $50 through the Booster Club provided they give us a receipt from the camp.  All forms must be turned in by the end of the school year for reimbursement.

TEAM FUND REQUESTS – All requests for funds should be submitted to the Athletic Director.  The Athletic Director will then decide if the request(s) should be submitted to the Booster Club.

UNIFORMS - The Booster Club does not purchase athletic uniforms.

FUNDRAISING – The Booster Club will not do or share any type of fund raising activities with school sport programs.
